How you respond to questions will boost your audience's opinion of your company or boost their confidence in your products or service. As a professional you will need to master that art of asking pertinent inquiries, but the most important thing is how you can answer them effectively.

Before you plunge into answering the question, make sure it is clear in your mind about what the question is. There is no harm in getting clarity on what's being asked. Be polite and ask "I apologize, but I'm not sure I comprehend what you're requesting Would you mind changing the way you phrase it?" It is easier to communicate in such situations than you can simply talk about the topic with little clearness or comprehension. Remember that the point of answering questions is to provide a valuable contribution to the one who is looking for an answer. Don't waste your time. Seek understanding first.

One way that can enhance the likelihood of you answering a question in a relevant and objective manner is if you allow the person who asked the question time to finish asking. Some people like to specify exactly what they are looking for. The answer to a query before it is completely asked could be rude. Don't assume that you know what direction the question is taking, therefore you will need to assist to understand the question. If you're on time then let the individual "ramble" while you note important points. This gives you time to synthesize and think of which answer is best to the question. The ability to listen will give you a high percentage of success in your responses to questions.

It is up to you to determine if you are qualified to answer that question , or if someone else is. Have you been authorized by the company to talk regarding the topic (journalists are able to haunt you even if you are not legally required to be the company's spokesperson)? How deep should the answer be? Silence and breaks in the conversation suggest that you're simply producing any unstructured material that you have in the mind but a clearly considered answer is about to be delivered. You can prepare someone for an answer by saying "Let me think ..., Let me think." ..". That way the person does not sit around thinking you have not heard but you're actually ignoring etc. Being able to think through the issue helps to think of statements that you'll be happy for later. You can determine the best way to present your argument with wisdom without leaving wounded or new wounds.
