Before you decide to answer your question, ensure you have in your mind what the question is. There's no harm in seeking clarity over what is being asked. You can ask politely "I apologize, but I'm not sure I be able to understand what you're asking Would you mind changing the way you phrase it?" Your communication will be better when you do this instead of simply blabbing away with no knowledge or clarity. Remember that the reason for answering questions is to contribute to the one who is seeking an answer. Don't be a waste of time. Seek understanding first.

One way to improve your efficiency in responding to an inquiry in a pertinent and objective manner is if you allow the person who asked the question time before asking. Some people are slow to describe precisely what they are seeking. Responding to a question after it is properly asked might seem irresponsible. Do not presume that you know in which direction the questions are taking and therefore would like to assist the person to clarify the issue. If you're able, let the person "ramble" while you make note of the key elements. This gives you time to synthesize and think of the most effective answer to the question. The ability to hear gives you a high percentage of success in answering questions.

You have to determine if you're qualified to answer that question or someone else is. Can you legally speak about the subject (journalists can make you look bad even if you're expected to be the spokesperson of the company)? What should the response be? Pauses and moments of silence indicate that you aren't simply churning out whatever raw material you have in your mind but a clearly thought out solution is coming. You can actually prepare the person expecting to answer you by declaring "Let me think ..., Let me know." ..". So that the person does not have to sit in silence thinking there is nothing you've heard that you're ignoring or not paying attention. Thinking through also helps you to think of statements that you'll feel good regarding later. You can determine the best way to answer with wisdom without leaving the person with scratches or fresh wounds.
